3CX Phones - 3CX Phone App End-User Guide

How to Add 3CX to Your Phone:

Before you begin, please download the 3CX Phone App from either the App Store (iOS) or Google Play Store (Android). To begin using the 3CX app, do the following:
  1. Log into your 3CX account using the 3CX Web Portal. This will need to be done at either a desktop or laptop computer.
  2. Open Settings
    1. This can be found by either clicking on Profile Picture > Settings or by select the ... on the navigation pane, then selecting Settings.
  3. Once there, select the button underneath your profile picture labeled QR Code
  4. On your phone, open the 3CX app. When it opens, navigate to the second page of the welcome screen and select SCAN QR CODE
    1. If prompted, allow permission for 3CX to use your phone's camera.
  5. Use your phone's camera to scan the QR Code on your computer's screen.
  6. Once scanned, you are ready to begin using the 3CX Phone App.


There are 6 tabs available at the bottom of the app. They are as follows:
  1. Team - Here, you can view a list of all other 3CX users. Selecting a user places a call to them. Press the ... next to a user to bring up options for their contact.
  2. Contacts - Here, you can view a list of contacts saved in your phone. Select one to call them. You can filter by contact type, the default shows All contacts. Select All to change filter. Additionally, press the Add button to create a new contact.
  3. Keypad - This tab presents a keypad you can use to dial numbers to call. You are able to call both 3CX users or external phone numbers (Non-3CX).
  4. Recents - This shows a list of recent calls. Two panes are available: All shows all recent calls, Missed shows recent missed calls.
  5. Chat - Here, you can see chat messages you have with other 3CX users. Select a user to view your chat with them. To start a new chat, select the Pencil icon in the top righthand corner. You will be able to choose to make a new chat, a new group chat, or a new SMS to an external phone (Non-3CX).
  6. Voicemail - Here, you can view a list of voicemails others have left for you. Select a listing to hear it.
In addition to those tabs, you can open the App settings by selecting the the icon with three horizontal lines in the top lefthand corner.


Answering Calls:

When an receiving an incoming call, 3CX will produce a banner notification at the top of your phone screen. Select the Check Mark to answer it.


Blind Transferring Calls:

If you do not wish to introduce a caller before finalizing a transfer, you want to perform a “Blind Transfer”. To execute a “Blind Transfer”, while actively on a call with the caller you want to transfer:
  1. Press the Transfer button (upwards facing arrow).
  2. Select Transfer.
  3. Select a contact you wish to transfer the call to.


Warm/Attended Transferring Calls:

When transferring calls to another extension, you have the option to talk to the person you are transferring to before sending the call to that extension. This is called a “Warm” or “Attended” transfer. To execute an “Attended Transfer”, while actively on a call with the caller you want to transfer:
  1. Press the Transfer button (upwards facing arrow).
  2. Select Att Transfer.
  3. Choose the contact you wish to transfer the call to.
  4. Wait on the phone while until the person at the extension answers the phone.
  5. If they answer the phone:
    1. Introduce the caller to the person answering. During the transfer, the caller is put on hold.
    2. If they are ready to receive the call, press the Transfer icon next to the caller (phone icon with an arrow facing away)
  6. If they do not answer or are unable to take the call:
    1. Press the Cancel button.
    2. Resume the call by taking the caller off hold using the Resume button (looks like a pause icon).
    3. Then perform the next action needed to address the caller’s needs.

Turn on and Off Do Not Disturb:

When you are not available to take calls, you can turn on Do Not Disturb (DND) mode to prevent you phone from ringing and to send all phone calls directly to voicemail.
  1. You can not enable DND while on a phone call.
  2. Select the colored square in the top righthand corner of the screen. This will present a dropdown menu.
  3. From this list, select Do Not Disturb.
To turn of DND mode, simply select Available in the dropdown list.

Mute and Unmute Microphone:

When on a call, if you want to prevent the caller from hearing you:
  1. Press the Microphone icon shown while on a call.
To Unmute, simply press the Microphone icon again and the button will turn white again.

Voicemail Management:

To listen to your voicemail, do one of the following:
  1. Navigate to the Voicemail tab at the bottom of the screen.
    1. Select a voicemail listing to hear it.
  2. Dial 999 to access voicemail extension.
    1. Enter your voicemail PIN followed by the # symbol (this can be found/configured on your profile settings page in the 3CX Web Portal).
    2. If there are any voicemails, they will be played to you through either the handset, headset (if installed), or speaker if the Speaker button is pressed.
  3. Access the Voicemail tab in  the 3CX Web Portal
    1. Here, a list of voicemails are shown. Click on a voicemail to listen to it.
    2. If the Voicemail tab is not visible, select the ... button at the bottom of the the navigation pane to show more options.
To change your voicemail greeting, do the following:
  1. Dial 999 to access voicemail extension.
    1. Enter your voicemail PIN followed by the symbol (this can be found/configured on your profile settings page in the 3CX Web Portal).
    2. Once voicemails have finished playing, press 9 for more options.
    3. The phone will list the options available to you. Press 8 to record new voicemail greeting.
    4. When prompted, say your greeting aloud for the phone to record
